Help keep ASA running smoothly and growing faster. You’re organized, proactive, and love making things work behind the scenes. From managing schedules and emails to coordinating meetings and events, you’ll play a key role in supporting our CEO and helping ASA expand its impact.

Responsibilities:

Provide high-level administrative support to the CEO
Be on call to CEO as needed: remain available to support CEO as needed

Client Communication

  • Serve as a professional point of contact for clients, handling communications with timeliness, courtesy, and discretion
  • Coordinate with internal stakeholders: CEO, Operations Manager, ASA team, Board of Directors
  • Coordinate with external stakeholders: donors, partners, prospects

Scheduling/Calendar Management

  • Manage CEO’ calendar, meetings appointments, etc.
  • Answer inquiries/ASA area: answer and direct inquiries to the appropriate ASA area, ensuring accurate information
  • Email management: monitor, organize, and respond to emails

Travel & Event Coordination

  • Coordinate travel: arrange and manage ASA team member domestic and international travel
  • Online event coordination: coordinate and support virtual meetings and online events, including scheduling, technology setup, and participant communication

Miscellaneous

  • Prepare and edit correspondence, reports, and presentations
  • Coordinate executive and board meetings, including materials and follow-up
  • Support strategic initiatives and special projects as assigned
  • Track priorities, deadlines, and executive commitments
  • Handle confidential information with discretions and professionalism

Requirements

  • Valid U.S. work authorization (OPT accepted; no visa sponsorship or cost coverage)
  • Commit to 10–15 hours per week (travel reimbursed if required)
  • Must live in Illinois or Kentucky and be out of college
  • Self-driven and able to work independently and on a team
  • Comfortable communicating in remote settings
  • Basic networking and sales skills (or willingness to learn)
  • Experience with Google Docs, Sheets, and other Google tools
  • Organized with strong attention to detail

Preferred:

  • Any prior internship experience(s) or similar part-time job(s).

Non-compete clause: While working for ASA, you are not allowed to work as a volunteer, part-time, or full-time employee with any competing organization or company that offers our business plan.
